Accounting Technician

$25.82 - $31.00 per hour DOE

 

The Town of Vail is now hiring a Accounting Technician. The Accounting Technician is responsible for all external billing for the town and component units (accounts receivables) and collection processes.  This position is also responsible for oversight of the daily operation, sales of parking passes and implementation of current parking policies. 

 

Accounting Technician duties include, but are not limited to:

  • Establishes and maintains Accounts Receivable customer accounts: address, payment terms, allocation to general ledger revenue accounts, and documenting appropriate backup information.
  • Responsible for timely billing of leases according to contract terms, including calculation of CPI for annual increase; This occurs monthly, quarterly, bi-annually and annually.
  • Produces invoices for all departments as requested. Examples include police contract billings, fire deployments, shared capital project costs and reimbursements for legal fees on development projects.
  • Collects on past due invoices; calculates penalty and interest charges.
  • Performs write offs and billing adjustments as necessary.
  • Reconciles accounts receivable accounts.
  • Creates and inputs journal entries for Vail Local Marketing District (VLMD), Real Estate Transfer Tax, Court and Finance.
  • Validates real estate transfer tax cash receipts to Eagle County Sales Book records; researches buyer/seller information through Eagle County website.
  • Prepares delinquency notices for real estate taxes not paid 30 days from sale of property.
  • Reconciles real estate tax collections to general ledger & maintains reporting stats for the purposes of revenue reporting.
  • Prepares an end of the year reconciliation of outstanding receivables.
  • Assist external auditors with information as needed for annual audit.

Lead Parking Sales Technician duties include, but are not limited to:

  • Trains and oversees seasonal parking sales employee.
  • Responsible for an estimated $900,000 in cash and credit card transaction sales of parking passes plus a $300 cash drawer.
  • Creates parking pass applications, comp lists, employee lists and coordinates large customer sales (groups of employee passes for example).
  • Coordinates implementation of parking pass policy and programs as set by Town Council. For example requirements for annual recertification and proof of residency.
  • Attends “Frontline” parking meetings to provide updated information to parking staff for communicating with customers.
  • Produces sales reports by pass type from the parking database, both current and historical for the directors of Finance, Public Works and Transit departments as well as the Town Manager and Town Council.
  • Oversees production of pass inventory, and tracking the inventory using appropriate internal controls.
  • Manages all sales transactions of over ten types of parking passes, multiple types of parking vouchers and comp passes.
  • Effectively utilizes parking sales system and value card system to track daily transactions and customer balances. Balances daily cash and credit card receipts for end of day batching process. Researches declined credit card transactions, communicates with customers and ultimately notifies parking supervisors of the need to turn passes or value cards off.
  • Investigate any issues that arise pertaining to parking pass balances or value card issues. Communicate professionally with customers to help resolve issues.  This includes replacement of stolen, lost or damaged passes.
  • Performs end of year closing procedures for the pass office, including value card pass balance reconciliations.
  • Maintains internal control structure and provides adequate documentation for the annual external audit.
  • Provides other backup functions for the Finance department as needed such as front desk coverage and cashier duties.
  • Other duties as assigned.

  • High-school diploma or equivalent.
  • Knowledge of general accounting principles.
  • 3 year’s progressively responsible billing or payment processing experience required.
  • Proficient in Microsoft Office; Excel, Word & Access
  • Ability to communicate effectively and professionally in-person, via phone or via email.
  • Guest Service experience
