The Environmental Sustainability Administrative Assistant supports the Town of Vail’s Environmental Sustainability Department by performing essential administrative tasks, managing communications, and assisting with department programs. Working part-time, this role is instrumental in advancing the Town's sustainability and climate goals through organizing events, tracking budgets, coordinating meetings, and supporting key initiatives such as e-bike programs, green commuting, and Actively Green certifications. This position is ideal for someone detail-oriented, organized, and passionate about environmental sustainability, with occasional outdoor field work and event coordination required.

Skills / Requirements

Key Responsibilities

  • Financial Support: Process P-card reports, invoices, and track department expenses. Assist with annual budget preparations and monitor financial performance.
  • Administrative Duties: Schedule meetings, manage logistics, prepare contracts, maintain records, and coordinate special departmental events (e.g., Hard to Recycle events, Town Clean Up Day).
  • Communication Support: Update and manage department websites, social media accounts, and program newsletters. Collaborate on the Social Media Committee.
  • Program Assistance: Facilitate programs such as E-Bikes for Essentials and Sole Power green commuting, ensuring smooth implementation and stakeholder involvement.

Qualifications

  • Education: Bachelor’s degree in business, public administration, or a related field is preferred; equivalent work experience may be considered.
  • Experience: Minimum 2-3 years of professional experience in administrative support, project management, or event coordination.
  • Knowledge and Skills:
    • Strong written, verbal, and interpersonal communication skills.
    • Detail-oriented with excellent organizational skills.
    • Ability to work independently, exercise good judgment, and remain flexible.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and social media platforms.
    • Knowledge of or a strong interest in sustainability, environmental science, or related fields is preferred.

Work Environment and Physical Demands

  • Primarily office-based, with occasional outdoor activities.
  • Light lifting (up to 50 lbs), with occasional need for heavier items.
  • Periodic evening or weekend work required for events.
