Position Overview

 Public Works Administrative Technician 

Hiring Range:  $30.58/hour - $38.23/hour (Depending On Experience)

Salary Range:  $30.58/hour - $45.88/hour

 

The Town of Vail is seeking an experienced, detail-oriented Administrative Coordinator to support the Public Works Department, including Transportation, Engineering, Streets, Parks, Facilities, Landscaping, and Art in Public Places (AIPP).

This vital role provides high-level administrative and financial support, manages purchasing and payroll processes, oversees departmental programs, and serves as the first point of contact for employees and the public. Essential Duties and Responsibilities: 


Administrative & Financial Support

  • Administer all purchasing activities, systems, and procedures; ensure compliance with Town policies.
  • Maintain and monitor department budgets and cost coding; research and resolve billing disputes.
  • Reconcile purchasing cards and manage confidential personnel files and personnel action forms.
  • Coordinate annual distribution and tracking of department employee bonus cards.
  • Support payroll and timekeeping systems and assist with Work Order program tracking.
  • Act as department liaison for finance, payroll, purchasing, and records systems (LaserFiche).

Program & Asset Management

  • Manage uniform and safety boot program for full-time and seasonal employees, including ordering, inventory, and vendor coordination.
  • Administer Snow Plow Permitting program and ensure documentation and insurance compliance.
  • Manage AIPP Memorial Bench program, including placement, renewals, compliance, and mapping.
  • Coordinate Special Event Banner program, including logistics, inventory, and vendor coordination.
  • Serve as AT&T account administrator for ~31 department phones; oversee upgrades and troubleshooting.

Office & Customer Service Management

  • Oversee day-to-day office operations, reception, phones, radio communications, and correspondence.
  • Provide excellent customer service to the public, Town staff, vendors, and contractors.
  • Assist with seasonal onboarding, uniforms, personnel action forms, and welcome process.
  • Support planning and coordination of department events, meals, and special functions.

Other

  • Support Town-wide events and employee functions.
  • Follow Town of Vail safety and environmental practices.
  • Perform other duties as assigned.

  • Ability to maintain confidentiality and handle sensitive information.

  • Proficiency with MS Office (Word, Excel), payroll/timekeeping systems, purchasing software, and records management platforms (LaserFiche preferred).

  • Self-motivated, dependable, and able to exercise sound judgment.

Education, Experience and Certificates

  • High school diploma or equivalent required; associate’s degree in business, accounting, or a related field preferred.

  • 3–5 years of administrative experience required.

  • Experience supporting payroll, purchasing, or finance preferred.

  • Valid Colorado driver’s license and acceptable driving record.
